The Accounting Assistant is a NATIONAL position. This position is located in Les Cayes.
ROLE PURPOSE:
The Accounting Assistant is responsible for assisting with Fondasyon Kuehner accounting, including but not limited to accounts receivable, accounts payable, and administrative tasks as assigned. The accountant will use sophisticated software and Excel to balance Fondasyon Kuehner’s accounts on a weekly basis, track petty cash expenses, learn and assign internal accounting codes to programmatic expenditures, support in executing the payment of bills, assist Hope for Haiti leadership in formulating solid financial and administrative procedures, and carry out periodic internal audits. The Accounting Assistant works closely with the Accountant and reports directly to the Chief Financial Officer. The Accounting Assistant position is based in Les Cayes, Haiti.
The Accounting Assistant works closely with the Accountant and Chief Financial Officer to ensure that the organization is upholding a high level of financial integrity. She/He assists HFH leadership in formulating sound financial procedures that are in line with national laws, as well as private grant guidelines, and ensuring that these procedures are upheld throughout the organization.
The important responsibilities of the Accounting Assistant position require a professional leader who is flexible and patient and has a high attention to detail.
The Accountant reports directly to the Chief Financial Officer in two areas of responsibility:
- Account Management
- Business Compliance
ACCOUNT MANAGEMENT:
The Accounting Assistant is responsible for mastering Hope for Haiti’s programmatic chart of accounts. He/She will review accounting codes assigned to all weekly expenses and submit bi-monthly accounting reports to the Senior Management Team.
In this area, the Accounting Assistant:
- Assists in the check, wire, and payment request process by ensuring payments are delivered and the backup documents are scanned and saved to Hope for Haiti’s internal shared drive on a timely basis.
- Monitors Hope for Haiti’s expenses, collects and reconciles receipts and financial reports from programmatic staff and monitors petty cash spending.
- Files and organizes all accounting information on Hope for Haiti’s internal shared drive and keeps paper files for the previous 7 years filed and stored in a secure place.
- Manages an extensive list of Hope for Haiti’s recurring costs and payment schedules.
- Ensures that all programmatic payments are processed and completed on time.
- Assists with monthly PO requests
- Oversees and improves the organization’s existing accounting system, particularly petty cash, request for cashier’s checks and reconciliation of employee allocations with expenses and receipts.
BUSINESS COMPLIANCE:
In Business Compliance, the Accountant will work with the Country Director and Director of Finance to formulate solid financial procedures and policies that respect national laws and private grant requirements. The Accountant will ensure that these policies are upheld throughout the organization by conducting regular checks on receipts, procurement procedures and petty cash management. The accountant will also ensure that Fondayson Kuehner stays compliant with government regulations.
In this area, the Accounting Assistant:
- Supports the Finance Team in clearly communicating Hope for Haiti’s financial policies with regards to check and wire requests, procurement and distribution policies and the verification of proformas and receipts
- Assists in maintaining organizational paperwork and renews as needed in a timely manner (Quitus, Authorization from Mairie des Cayes, Non objection certificate, Matricule Fiscale, Certificat de Dépot de Déclaration Définitive, Patente, MSPP legal requirements, Grant & Loan agreements etc.)
- Executes asset verification and updates on a quarterly basis
- Reevaluates Hope for Haiti/Fondasyon Kuehner’s procedures on a regular basis to make recommendations for improvement
- Ensures that financial policies and procedures are respected on an organization-wide basis in Haiti.
EDUCATION / EXPERIENCE
- A bachelor’s degree (BA or BS) from an accredited university in administrative sciences, or equivalent with at least 3 years of experience in accounting and administration.
- Excellent written, oral, and interpersonal communication skills
- Superior organizational skills and a strong ability to prioritize and assist supervisor in prioritizing
- Written and spoken fluency in English, French and Creole.
- Creative problem solving skills and self-starting abilities.
- Ability to use computers, including Gmail Suite (email, google documents, google calendar), Microsoft Word, and Microsoft Excel.

COMPENSATION & BENEFITS
Compensation is based on Hope for Haiti’s Compensation Scale. National candidates only. Benefits package including health insurance, paid time off, maternity and parental leave. This is a full-time/remote position based in Les Cayes. This position is NOT accompanied, and the organization provides no relocation, logistics, or housing packages.
