Your Role
Hi, I'm Cristina, the HR Business Partner responsible for some EMEA countries (Spain, UK, Ireland, Portugal and Italy), and your hiring manager here at WebPros. My career path was originally centered in psychotherapy and coaching, and about 8 years ago, I made a shift into an HR Business Partner role at WebPros - an exciting and dynamic company - while also managing the day-to-day aspects of office operations.
I am currently looking for an Office & HR Coordinator to support me from the Barcelona office. As an Office & HR Coordinator, your week is centered around overseeing health & safety policies, local regulations, time tracking through our HRIS tool, assisting employees with HR-related queries, and contributing to a smooth and engaging office experience. You'll also be involved in supporting internal events across EMEA and staying closely aligned with the HR team.
Your Responsibilities:
- Reviews health and safety measures are up to date and ensures all employees comply with local regulations. Keep records of all trainings, medical check ups and protocols.
- Liaise with external vendors and service providers, including cleaners, maintenance teams, and facilities partners.
- Organize the maintenance of the office and arrange necessary repairs
- Coordinate procurement of equipment and services, aligning with IT and organizing the shipment of IT equipment
- Support planning and coordination of internal events, collaborating with the broader HR or Workplace teams to ensure smooth execution.
- Recently graduated in Human Resources, Communications or related field.
- You have at least 2 years of experience in an office or administrative role.
- You speak fluent English.
- Excellent organizational and multi tasking skills.
- A positive, can-do attitude and willingness to learn.
You might struggle here if you prefer highly structured roles with rigid processes and find it challenging to navigate ambiguity or adapt to changing priorities. You require constant guidance rather than taking initiative and driving your own work.
This is a critical role that requires a proactive approach to HR operations and office management. You will be responsible for ensuring smooth HR processes and creating a welcoming office environment.
