We currently have an opening for Procurement Officer based in Madrid to support our Spanish sales team. If you are highly organised, detail-oriented, and experienced in administrative contract support, have the skills experience and values that align to what we are looking for, we want to speak with you!


About the opportunity:


Reporting to the Business Development Manager, you will be responsible for coordinating contract documentation, public procurement processes, and supplier/client admin support.


This is a part-time role working 20 hours per week over 5 days, initially on a 6 month fixed-term contract.


In the role you will be expected to:

  • Organise, maintain and archive company and contract documentation (e.g., deeds, supplier and client contracts) including recurring compliance records in SharePoint.
  • Support public procurement: prepare, manage and submit submission documentation using digital platforms, monitor various portals, manage bonds and guarantees, and track deadlines.
  • Administer contracts: handle payment documents, oversee status and validity of banking guarantees and insurances, track payment statuses are being met.
  • Prepare basic documentation on Health and Safety, environmental standards and business activities.
  • Manage certifications and approvals from public clients.
  • Manage supplier platforms (PLYCA, Nexus, SAP) and follow up on unpaid invoices.

About You:

  • You have full professional proficiency in English (spoken & written)
  • You have full professional proficiency in Spanish (spoken & written)
  • You have one of the following qualifications, ADE, Formación Profesional Administrativo, or Módulo Superior Administrativo.
  • You have solid experience in public tender administration and contract compliance.
  • You have familiarity with Spanish platforms (e.g., contrataciondelestado.es, eLICITA, eFACE).
  • You are able to work independently, with strong attention to detail, planning, and deadlines.
  • You are comfortable liaising with banks, insurers, and clients on administrative matters.
