The Shipping Office oversees all activities related to the planning and control of outbound shipments of finished cells. It monitors inventory levels to ensure compliance with the dispatch schedule. As part of claim management, the office handles all logistics-related complaints, coordinates replacement deliveries, and conducts root cause analyses to implement corrective actions.
General Responsibilities:
1. Regular communication with PowerCo Headquarters and reporting of KPIs
2. Preparation of reports and presentations for management
3. Planning and implementation of site-specific process adjustments
4. Responsibility for Lessons Learned, Process Optimization, and Continuous Improvement initiatives within the Shipping & Claims department, including documentation, communication, and active participation in improvement measures.
Primary Responsibilities of the Shipping Office:
1. Control and execution of shipments according to the weekly dispatch schedule (24-hour planning)
2. Planning of necessary shipping resources
3. Arrangement of ad-hoc shipments based on the polluter-pays principle
4. Short-term transport orders in line with available shipping capacity
5. Preparation and management of all required shipping documents (e.g., delivery notes, bills of lading, customs paperwork)
6. Ongoing inventory management of finished cells to ensure timely dispatch
7. Cross-functional collaboration with production and other departments to fulfill the dispatch plan
8. Escalation of any deviations from the shipping schedule
9. Support to customers in securing transport capacity
10. Continuous improvement of shipping processes, including: a. Monitoring and controlling outbound container flows (site customer) b. Inventory management of containers c. Oversight of container condition, repairs, and replacements d. Ensuring container cleanliness
11. Handling customer inquiries and resolving shipping-related issues
12. Participation in regular coordination meetings with production contro
Primary Responsibilities in Claim Management:
1. Investigation of logistics complaints from customers (e.g., container issues, quantity discrepancies, incorrect deliveries, label legibility, booking errors)
2. Complaint resolution, including initiating returns, organizing transport, correcting schedules and inventory records
3. Coordination of material flow from the customer to the restricted storage area
4. Forwarding of claims to Quality Assurance, including joint fact-finding and decision-making on material usability
5. Responsibility for managing non-conforming cells
6. Analysis of recurring customer complaints
7. Development and implementation of corrective actions to prevent future issues
8. Close coordination with the analysis center regarding defective cells and next steps
9. Organization of replacement shipments
10. Handling returns and claims with suppliers for purchased parts and raw materials
11. Documentation and reporting of all customer complaints and resolution activities
12. Continuous improvement of the claims process
- 5 years proven experience in supplier management, logistics, or procurement, preferably inbound and disposition.
- Master or equivalent in Logistics, Supply Chain Management, Business Administration, or a related field.
- Fluent in English and Spanish
