Job Title: Research Support Divisions Administrator
Research area or group: Core Research Support Facilities
Description of Group/Project:
Research at ICN2 is supported by the Research Support Division (RSD), a centralized infrastructure that provides shared access to state-of-the-art equipment, specialized services, and expert knowledge. The division comprises multiple Research Support Units and Facilities, staffed by highly skilled scientists and technicians whose diverse expertise adds substantial value to ICN2's research community.
The division has experienced rapid growth, driven by its strong track record in securing competitive grants to acquire advanced instrumentation, establish essential support facilities, and participate in transnational access platforms. These efforts extend ICN2's capabilities to a wide academic and industrial user base at national and international levels.
This expansion has increased the need for robust administrative coordination, a challenge that cannot be fully met by ICN2's central administration alone. The RSD Support Divisions Administrator will play a key role in ensuring smooth operations by bridging technical activities with administrative processes.
Main Tasks and responsibilities:
- Provide support to technical staff in managing internal and external users, including communication and coordination with current and prospective external users.
- Compile and analyse statistics and activity reports for both internal planning and external reporting purposes.
- Contribute to the improvement of operational workflows and support the digitalization and automation of processes, particularly through the implementation and management of the Scientific Core Facility Management Software (Agendo).
- Assist in the preparation, submission, and monitoring of grant applications and funding proposals.
- Monitor the scientific impact of supported projects by tracking related publications and outputs.
- Collaborate in the annual review of service tariffs to ensure alignment with national and European funding regulations.
- Coordinate with the Finance Department to prepare quotations for external service.
- Track and process data required for invoicing and internal/external billing of technical services.
- Facilitate the centralization and dissemination of information to users, including the organization of training sessions and regular user meetings.
- Support the implementation of Data Management Plans in coordination with the ICN2 Data Architect and technical staff.
- Support the technical staff in the maintenance and continuous update of the ICN2 equipment roadmap.
- Support the Division in enhancing its visibility and external profile, promoting its services, capabilities, and achievements to academic, industrial, and institutional audiences.
- Act as a liaison between the Division and other ICN2 departments (Finance, Competitive Funding, Business and Innovation, Communication, etc.), researchers, and external stakeholders.
Requirements:
- Education
Degree in Science or Engineering.
- Knowledge and Professional Experience:
Proficiency in Catalan, Spanish, and English (spoken and written). Advanced skills in Microsoft Office and data management tools.
Broad understanding of scientific research environments combined with solid administrative management capabilities
- Competencies:
Excellent organizational skills, attention to detail, and ability to manage multiple tasks simultaneously. Strong interpersonal and communication skills to effectively interact in a collaborative research setting.
This role is instrumental in optimizing workflows across the Research Support Division and ICN2's administrative departments, ultimately enhancing the institute's research infrastructure and service delivery.
