About the role


The Facilities and Property Manager will oversee the effective delivery and management of store maintenance (planned and reactive) for their designated group of stores, and the planning and delivery of capital expenditure projects. This role also involves managing lease agreements to ensure compliance, cost-effectiveness, and alignment with business objectives while fostering strong collaboration with internal business partners such as store operations, finance, legal, marketing, and facilities teams, as well as external partners like landlords, agents, advisors, and consultants.


Main Responsibilities


  • Facilities Management:
  • Ensure all planned preventative maintenance is carried out as per agreed schedules and maintain accurate records.
  • Ensure stores are compliant with all Health and Safety Regulations.
  • Ensure all reactive maintenance works are carried out as per agreed SLAs.
  • Act as the key communications link between external contractors and store teams.
  • Conduct regular store audit inspections to ensure agreed works are completed within the time scale and to agreed standards.
  • Work with the European Finance Manager to ensure works are carried out within the financial year's agreed budget.
  • Attend regular meetings with regional and district teams to discuss ongoing issues in stores and provide recommendations for cost-effective resolutions.
  • Certify and authorize the payment of invoices related to works completed within the region.
  • Ensure remedial works arising from compliance and insurance inspections are completed and make recommendations regarding discretionary works.
  • Manage day-to-day approvals and report on a weekly basis.
  • Complete and issue monthly activity reports to the wider business.
  • Create and manage a Capital Replacement Programme for stores within the designated area.
  • Deliver and manage the capital works programme.
  • Attend all stakeholder and handover meetings for new stores, remodels, and TSIs as required.

  • Capital Replacement:
  • Oversee minor capital refurbishments/replacement programmes. Work with internal stakeholder departments to discuss and plan resolutions to issues.
  • Identify trends in stores, investigate recurring issues, and make proposals to the Facilities Manager for approval to achieve resolution.
  • Manage new store ventures post-construction. Liaise with Store Development and FM Provider to understand on-site environment issues and identify contingency plans to resolve potential problems.

  • Lease Management:
  • Manage lease information accurately onto Access database and Lucernex. Handle supporting files such as rent indexations, service charge, and re-gear summaries.
  • Check and approve rent reviews, service charge adjustments in accordance with leases, and control monthly rent runs in direct connection with the Expense Payable team.
  • Control service charge expenditures and manage external SC auditors who review annual reconciliations. Evaluate challenging SC and implement strategies to reduce costs. Track savings achieved and prepare/manage annual budgets.
  • Ensure compliance in the area of securities, including execution of required securities, renewal processes for guarantees, insurances, and notarial deeds.
  • Control property tax expenditures and cooperate with internal and external business partners for verification processes.
  • Support lease re-gears, break options removal, and other lease amendments to expand the role from property management to asset management.
  • Cooperate with acquisition in early negotiations of new leases to ensure optimal service charge conditions. Identify optimization opportunities and best practices.
  • Ensure compliance in the area of turnover rent, including timely report delivery, verification of landlord calculations, issue clarification, and timely payment.
  • Work with the marketing team to secure advertising locations within shopping centres and retail parks.
  • Interpret leases and advise internal business partners, mainly the Facilities team, about TJX responsibilities, rights, and obligations.
  • Support insurance claims processes to ensure compliance with lease agreements and internal policies.
  • Resolve complex property management issues in collaboration with the Facilities team and landlord representatives.
  • Visit stores to check and improve services provided by landlords and support the Store Operations team regarding property-related issues/challenges.


Who you are


  • At least 5 years’ experience in Property and Facilities
  • You have successfully overseen multi-site operations within a retail environment.
  • You are a proactive and hands-on professional with solid experience in facilities management and property management
  • You bring strong organizational skills and the ability to manage cleaning, repairs, and daily store operations, while also handling landlord relationships and resolving property-related challenges.
  • You thrive in building and maintaining positive relationships with internal stakeholders (Store Managers, Operations, Finance, AVP) and external partners (suppliers, landlords, and contractors).
  • You are fluent in English (comfortable enough to communicate effectively across countries).
  • Open to regular travel – up to 3 days per week within Spain and Europe
