Key Responsabilities:
Deadline Management
- Ensure the timely submission of visa applications, appeals, and other documents through close coordination with case managers and legal teams.
- Guarantee urgent cases are delivered promptly to the appropriate immigration office.
Client Communication
- Use reports to monitor that clients receive regular updates on their case status.
- Quickly address any communication lapses by notifying the Client Service Supervisor.
- Oversee receipt notifications and request follow-up from the Case Specialist team to resolve discrepancies.
Case Progress Monitoring
- Regularly monitor CRM dashboards and reports to track case statuses and identify potential delays.
- Coordinate with case managers to ensure efficient assignment and case progress.
- Escalate issues promptly to maintain operational efficiency.
Interdepartmental Collaboration
- Foster collaboration across departments to streamline issue resolution and implement effective solutions.
- Identify and resolve operational bottlenecks to ensure smooth case management processes.
Problem Resolution
- Investigate and resolve case-related issues, including documentation discrepancies or procedural questions.
- Collaborate with team members to implement solutions that enhance case management efficiency.
Quality Assurance
- Ensure compliance with internal protocols and guidelines through regular reviews of case data accuracy.
- Maintain high standards of quality in case management practices to meet firm standards and client expectations.
Other Duties as Assigned
- Perform additional responsibilities as required to support the department’s goals.
Requirements and skills:
- Preferred Bachelor Degree in Administration or Project Management.
- At least 2 years of experience in project management.
- Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients and internal stakeholders.
- Detail-oriented with a proactive mindset for identifying and resolving issues promptly.
- Proficient in Microsoft Office Suite; familiarity with Salesforce CRM is preferred.
- Ability to quickly learn and adapt to new processes and procedures.
