About the role
As our Leasing Coordinator, you will support the local Leasing team on general and leasing related administrative duties. You will also manage the system on behalf of the team.
Key responsibilities
The key responsibilities of this role will include some or all the following. Team Support
- Support team with documentation, meeting coordination, and internal processes to facilitate the Leasing & Remerchandising of Bicester Village
- Updating & maintenance of Value Retail internal systems
- Coordinate & schedule Remerchandising team meetings
- Provide executive assistance to the Remerchandising Director
- Organise external / brand meetings, including scheduling, meeting rooms, refreshments, travel to Village, minute taking
- Organise travel of the team where necessary
- Track the agreed Team Cost Variance Budget and assure no over spend Leasing Support
- Prepare or collate key documents to be shared regarding prospective leases:
- Update Heads of Terms at instruction of lease negotiators
- Coordinate internal approval processes
- Coordinate with Retail and Visual Merchandising on expected opening or closing dates and accompany unit vinyls
- Work closely with public entities regarding any remerchandising activity at the VIllage System Management
- Maintain the Lease Management information contained in Salesforce, including by creating reports based on information held in the system, updating all brand deal statuses, opening / closing dates, brand contact information and recording of planned B2B meetings & key actions resulting
- Create and track Purchase Orders in Oracle for Remerchandising projects and brand contributions, including setting up brands with new internal and external supplier forms and ensuring payments are made within the required period
About You
We are looking for an individual who can display the following experience and skills:
- Degree education or relevant qualification is preferrable
- Experience in commercial real estate industry would be beneficial
- Computer literate and proficiency in Microsoft Office
- Knowledge of Salesforce and Adobe Illustrator would be beneficial
- Able to work well with all levels across the business and customers with a creative and open minded capability to adapt to a fast pace environment
- A good communicator
- Ability to prioritise your work to meet tight and multiple deadlines
- Excellent organisational skills
- Ability to demostrate initiative and anticipate challenges
- Ability to both work as a team and work independently with minimal supervision
- Excellent organization skills and able to work under pressure
- Fluent in English and local Village language, any other European language would be beneficial
